Reservations

The reservation cut-off date is Friday, December 20. Lodging will be booked on behalf of all participants, regardless of your travel support status. Guest room and tax per night will be direct billed to IRIS for supported participants. Non-supported participants will need to provide a credit card at check-in. There is no need to contact the hotel to book a reservation. Reservations will assume arrival on Saturday, January 25 and departure on Monday, January 27. A small number of rooms are blocked for Monday night. Please email Mary by December 19 to secure a room for Monday night, if needed.

Travel Support and Reimbursement Policy

Supported participants will be notified by email which will include instructions on how to book flights through IRIS’ travel agency (optional). Support for airfare is up to $500. Supported participants are responsible for airfare expenses in excess of $500 and expenses for travel in first or business class or on non-U.S. carriers.

IRIS will cover two nights of lodging via direct bill. Participants are responsible for lodging for accompanying persons and lodging before or after the Workshop.

Ground transportation to/from the airport will be covered on a reimbursable basis.

Meals during travel days are not to exceed $50/day, for a maximum amount of $100 in meal support. Itemized receipts are required for meals. For meal receipts covering multiple individuals, list all the meal participants. Alcohol is non-reimbursable.

Supported participants will receive reimbursement after submitting a signed IRIS expense form and receipts within one month after the Workshop for airfare (if applicable), ground transportation and in-transit meals. All receipts must be submitted with the IRIS expense form. The signed expense reports and copies of receipts may be submitted via e-mail to admin@iris.edu.
